Getting Ready for Medicare AEP

 

Our team is ready for Medicare AEP. Use these tools so you will be ready too.

Please follow these two to get ready for AEP.

STEP 1:

PRESCRIPTION & PROVIDER INFO AND SCOPE OF APPOINTMENT

Below is a link to our RetireFlo survey tool that we use to gather your information. This tool allows you to submit your prescription and provider information along with your Medicare-required Scope of Appointment form all in one easy step.

Helpful Hints:

1. After you enter the information on each page, click OK to move to the next page.
2. Pharmacy: This is for retail pharmacies only. It does not include mail order. Type the name and zip code of the pharmacy you use, click “Search for pharmacy“ and then “Select” your pharmacy.
3. Prescriptions: As you enter the name of your medication, the system will display medications.

a. Select the one that you take – being careful to distinguish between tablets and capsules. If you enter the name brand, the system will ask you if you take the generic.
b. Dosage – select the correct dosage
c. Quantity – enter how many pills are in your bottle when you fill it or how many tubes you get at a time, etc.
d. Frequency – enter how often you fill it (Monthly, every 3 months, etc).

Ex. Quantity: 30; Frequency: monthly - If you take 1 pill a day and fill it each month
Ex. Quantity: 90; Frequency: every 3 months - If you take 1 pill a day and fill it quarterly
Ex. Quantity: 60; Frequency: monthly - If you take 2 pills a day and fill it each month

 

4. Hospital: Corewell Health isn’t loaded into the system, so use Spectrum Health. University of Michigan Health – West is in the system. Trinity Health in Grand Rapids is not in the system; instead, St. Mary’s is listed as Mercy Health St. Mary’s.
5. Physicians: Enter the names of your PCP and Specialists. Please enter your Dentist as a Specialist.
6. Scope of Appointment: Please initial all 4 boxes before signing and submitting. This will enable us to speak with you about all types of plans if necessary.
7. Sign and Complete: That’s it. You’re done!

STEP 2:

REQUEST AN APPOINTMENT OR REVIEW

IMPORTANT: If you want us to review your information and compare it to the 2026 plans, you MUST ASK us to do so. Just submitting your information and Scope of Appointment will NOT cause us to do a review.

In addition, you must submit the survey in Step 1 before we will confirm a review or schedule an appointment.

Medigap with Standalone Part D: If you simply want us to review your standalone prescription drug plan and request a review, like last year, we will review your prescription plan and call or email you with our recommendation. If you are considering moving to an Advantage Plan and request a review, we will schedule an in-person or Zoom appointment.

Medicare Advantage Plan: If you have a Medicare Advantage Plan and request a review, we will call or email you with our recommendation or schedule a Zoom or in-person meeting to review your options.

IMPORTANT NOTE: If you do not make any changes to your plan for 2026, you will automatically be enrolled in the same plan for next year, if that plan will still be available for 2026. If your plan is not available in 2026, you may be automatically moved to a new plan, or your plan may simply be cancelled altogether. We strongly encourage you to review your Annual Notice of Change from your insurance company in September to see what is changing with your plan in 2026.
